About the role

People MVR is partnering with a growing roofing company in Southern California to identify a highly organized, proactive, and detail-oriented Production / Project Manager.

This individual will oversee the operational coordination of roofing projects from the initial handoff from sales through project completion. The role is critical to ensuring projects are properly planned, materials and resources are coordinated, schedules are maintained, and potential issues are identified before they disrupt production.

Working closely with the sales and production teams, the Production / Project Manager will serve as the organizational hub for each project, ensuring all details are accounted for and the production team has everything needed to execute successfully.

The ideal candidate is an excellent communicator and problem-solver who thrives in a fast-paced environment, can manage multiple projects simultaneously, and takes ownership of the details that keep projects moving forward. Roofing or construction experience is beneficial, but strong project management, organizational, and coordination skills are the top priorities.

Key Responsibilities

Project Planning & Sales Handoff

* Manage the transition of projects from the sales team to production, ensuring all necessary information is documented and communicated.

* Review scopes of work, contracts, and project details to understand customer expectations and any special commitments made during the sales process.

* Identify potential challenges, missing information, scheduling conflicts, or logistical issues before projects begin.

* Ensure each project is properly planned and prepared before work is scheduled to start.

Materials & Resource Coordination

* Order and coordinate materials, ensuring the correct products and quantities are available when needed.

* Coordinate jobsite logistics, including porta potty delivery and pickup and other project-related services.

* Communicate with suppliers, vendors, and internal teams to confirm delivery timelines and resolve issues.

* Proactively address material shortages, delivery delays, and other obstacles that could affect production.

Scheduling & Production Coordination

* Coordinate project schedules with the production team, ensuring jobs are planned efficiently and resources are allocated appropriately.

* Forecast upcoming projects and anticipated production needs to support effective scheduling and workload management.

* Monitor project timelines and follow up on outstanding items that could delay progress.

* Maintain accurate, up-to-date project schedules and communicate changes or delays to the appropriate team members.

* Work closely with production leadership to keep projects on track and moving toward completion.

Job Costing & Change Order Management

* Forecast project costs and support job budgeting based on the scope of work and anticipated requirements.

* Track project details and costs to help maintain budget visibility and identify potential cost overruns.

* Prepare, document, and manage change orders when project scope or requirements change.

* Ensure scope adjustments are properly documented and communicated to the appropriate teams.

* Maintain accurate project records to support financial tracking and operational decision-making.

Communication & Cross-Team Collaboration

* Serve as a key point of coordination between the sales and production teams throughout the project lifecycle.

* Communicate project updates, scheduling changes, material needs, and potential issues in a timely and professional manner.

* Ensure the production team has the information needed to execute each project successfully.

* Follow up on outstanding questions, approvals, materials, and other items that could impact project progress.

* Keep project files, schedules, and job details organized, accurate, and current.

Qualifications

* Strong project management, organizational, and administrative skills.

* Exceptional attention to detail and the ability to manage multiple projects and competing priorities simultaneously.

* Excellent written and verbal communication skills.

* A proactive, solutions-oriented mindset with the ability to anticipate and resolve problems.

* Strong follow-through and the ability to manage deadlines, schedules, and competing priorities.

* Proficiency with project management software, scheduling tools, spreadsheets, and other business systems.

* Ability to coordinate effectively across multiple teams, vendors, and stakeholders.

* Roofing, construction, home improvement, or field service industry experience is preferred but not required.

Ideal Candidate

The ideal candidate is someone who naturally stays several steps ahead, enjoys bringing structure to a fast-moving operation, and takes pride in ensuring nothing falls through the cracks. They can manage numerous moving pieces at once, communicate effectively across departments, and identify what needs to happen before being asked.

This person should be comfortable taking ownership of project details, holding timelines accountable, and creating the organization and consistency needed to support a growing production team.
