About the role

Dental Practice Manager

Willoughby Dental Team | Willoughby, OH

You know a successful dental practice takes more than a full schedule. It takes a team that works well together, patients who feel cared for, and a leader who follows through.

Willoughby Dental Team (part of Seva Dental Team) is seeking a Practice Manager in Willoughby, Ohio, who can bring those pieces together. As the practice’s primary business and people leader, you’ll partner closely with the doctor and regional leadership to develop the team, direct operations, strengthen financial performance, and deliver an exceptional patient experience.

Management of practice operations and team performance is the primary responsibility of this role. You’ll exercise independent judgment within established company policies to make staffing, operational, and financial decisions that support quality patient care and sustainable growth.

We’re looking for someone who takes ownership, notices opportunities before they become problems, and understands that supporting people and holding them accountable go hand in hand.

What you’ll do

* Lead and develop the team. Direct team members’ work, assign responsibilities, set priorities, evaluate performance, and determine training and development needs. Build a positive workplace through clear expectations, consistent coaching, recognition, and accountability.

* Lead staffing and employment recommendations. Guide candidate selection and onboarding, and make recommendations regarding hiring, promotion, corrective action, and termination that carry significant weight in employment decisions.

* Partner with the doctor. Translate practice goals into operational priorities and action plans while supporting the delivery of outstanding patient care.

* Direct scheduling strategy. Lead team execution to optimize provider capacity, patient access, and continuity of care. Address recurring scheduling challenges and strengthen recall, reappointment, and reactivation efforts.

* Own practice performance. Analyze production, collections, accounts receivable, expenses, and staffing against goals and budgets. Identify underlying performance issues, implement corrective action plans, and evaluate results.

* Manage staffing and resources. Determine coverage and work assignments, approve time-off requests within company guidelines, oversee timecard accuracy and payroll deadlines, and manage overtime and labor utilization within budget.

* Support treatment acceptance. Coach the team on helping patients understand recommended care and financial options. Establish accountability for follow-up on unscheduled treatment and address barriers to completing care.

* Direct revenue cycle performance. Oversee insurance verification, claims submission and follow-up, payment posting, patient collections, and financial reporting. Resolve trends affecting collections and establish team accountability for accuracy and timely follow-through.

* Lead the patient experience. Build relationships, resolve escalated concerns within delegated authority, and use patient feedback to improve service and retention.

* Improve practice operations. Evaluate workflows, delegate routine administrative responsibilities, and implement improvements that balance patient needs, team capacity, and business priorities.

* Manage expenses and operational readiness. Allocate supplies and other resources within approved budgets and purchasing limits. Oversee vendor relationships, equipment maintenance, and facility needs.

* Build communication and accountability. Lead Daily Success Meetings and regular Practice Success Meetings, and participate in weekly calls with fellow Practice Managers and regional operations leadership.

* Maintain practice standards. Oversee adherence to OSHA, HIPAA, applicable regulations, and company policies. Ensure required training and documentation are completed and address operational risks with the appropriate leadership partners.

What success looks like

Your success will be measured by practice results and the experience you create for patients and team members, including:

* Achieving practice production, collections, and profitability goals.

* Maintaining productive provider schedules and growing the active patient base.

* Reducing outstanding patient and insurance balances.

* Building strong patient satisfaction, retention, and positive reviews.

* Improving team engagement, developing team members, and retaining strong performers.

* Managing staffing and controllable expenses within budget.

* Keeping the practice organized, compliant, and ready to deliver excellent care.

What you’ll bring

* At least three to five years of dental practice management or comparable healthcare leadership experience.

* Experience in a general dental practice with fee-for-service and PPO patients.

* Strong knowledge of dental scheduling, insurance, collections, treatment coordination, and practice financial performance.

* Proven ability to supervise, coach, develop, and hold a team accountable with respect and consistency.

* Experience making staffing decisions, evaluating performance, and addressing employee concerns.

* Confidence using dental practice management software, interpreting reports, and training others on systems and workflows.

* Sound judgment and the ability to assess options, make decisions within your authority, and recognize when additional input is needed.

* Strong organization, attention to detail, and the ability to manage competing priorities.

* A proactive approach to solving problems and a willingness to step in when the team needs support.

* A servant-leader mindset: approachable, dependable, and invested in helping others succeed.
