Job Description

The role includes:
* Supporting the Project Manager in day-to-day project coordination and governance * Managing project documentation and SharePoint structures * Preparing management presentations and project reporting * Coordinating project meetings, workshops, and follow-up activities * Facilitating collaboration between business and IT teams * Tracking actions, decisions, and project progress * Supporting stakeholder communication and ensuring transparency across the project * Fluent in written and spoken English, German level C1
Main responsibilities:
* Update the current-month payment and forecast files accurately and within the agreed reporting timeline, ensuring that reliable financial information is available for the CIO meeting. * Ensure the accurate and timely upload of customer contract documents and initiate the signature process by assigning them to the appropriate project stakeholders. * Verify received invoices for approval and, once the required approval is confirmed, accurately initiate the payment process within the agreed timeline.

Must Have
* Regular use of AI tools to improve productivity, automate or reduce repetitive work, support decision-making, and deliver higher-quality outcomes. * Ability to use AI tools responsibly by structuring effective prompts, critically validating outputs, understanding limitations, and taking ownership of the final result. * German level C1
The ideal candidate brings:
* Extensive PMO or project management experience in complex IT or transformation environments * Strong organizational and German communication skills * Experience working with both business and IT stakeholders * Excellent Microsoft 365 knowledge, particularly SharePoint, PowerPoint, Teams, and Excel * A proactive, structured, and hands-on approach * Fluent in written and spoken English and German
