About the role

About Dwelly

Dwelly is building the AI operating system for residential lettings. Its growing network of agencies provides its AI with real-world data, continuous feedback, and control over complete workflows, making exceptional service the standard for landlords and tenants. Today, Dwelly operates more than 15,000 properties and $470 million in GMV, making it one of the UK’s ten largest lettings operators. The company has raised $263 million.

We’re a fast-growing, product-focused company, backed by top-tier investors and led by a team with deep experience in real estate, technology, and operations

About the Role

As Dwelly continues to grow and prepares to move into our new five-floor London headquarters, we're looking for a proactive, hands-on Office Manager to take ownership of our day-to-day office operations.

This is an opportunity to play a key role in shaping our workplace experience, ensuring our office runs smoothly, operates efficiently and provides an environment where our team can do their best work.

As a self-managed office, you'll have responsibility for maintaining high operational standards, coordinating facilities and suppliers, and proactively identifying ways to improve how we work.

We're looking for someone who thrives on ownership, enjoys solving problems and takes pride in creating an organised, welcoming and well-run workplace.

What You'll Do

Office Operations

* Take ownership of daily office operations across our five-floor London HQ, ensuring workspaces, meeting rooms, kitchens and communal areas are consistently maintained to a high standard. * Ensure the office is fully equipped, organised and running efficiently, anticipating operational needs as the business grows. * Act as the first point of contact for office-related matters, proactively resolving issues and implementing practical solutions.

Facilities & Maintenance

* Coordinate building maintenance, cleaning, repairs, security and health and safety requirements. * Manage relationships with external contractors and service providers, ensuring work is completed efficiently and to a high standard. * Establish and maintain processes that support the safe and effective running of the office.

Suppliers & Budget Management

* Oversee the ordering and management of office equipment, stationery, refreshments and other workplace essentials. * Manage supplier relationships, monitor office expenditure and coordinate invoice processing. * Identify opportunities to improve operational efficiency and deliver value for money without compromising the workplace experience.

Office Logistics

* Coordinate deliveries, post, building access and visitor arrangements. * Ensure meeting rooms and shared spaces are organised, functional and ready for use. * Support the practical logistics of employee onboarding, internal meetings and other office activities.

Events & Workplace Experience

* Organise team socials, office events, celebrations and internal activities that bring people together. * Create a welcoming and engaging office environment that supports collaboration, connection and team culture. * Introduce thoughtful initiatives that enhance the employee experience and make the office a place people genuinely enjoy coming to. * Gather feedback and continuously identify opportunities to improve the workplace as Dwelly scales.

What We're Looking For

* Relevant experience: Previous experience as an Office Manager, Office Coordinator or in a similar workplace operations role, ideally within a fast-paced or growing business. * Strong ownership mindset: Comfortable taking responsibility for office operations, working independently and ensuring things get done without constant direction. * Proactive problem-solver: Naturally anticipates needs, identifies potential issues early and takes initiative to resolve them. * Highly organised: Excellent attention to detail, with the ability to manage multiple priorities and maintain high standards in a busy environment. * Hands-on and resourceful: Practical, adaptable and willing to get involved wherever needed to keep things running smoothly. * People-focused: Approachable, supportive and an effective communicator who enjoys creating a positive experience for employees and visitors. * Commercially minded: Confident managing suppliers, tracking expenses and making sensible decisions that balance quality and cost. * Comfortable with change: Thrives in a dynamic environment, embraces new challenges and enjoys improving processes as the business evolves.

Why This Role Matters

Our London HQ will play an important role in bringing our teams together as Dwelly continues to grow.

We're looking for someone who sees beyond the day-to-day tasks of office management and takes genuine pride in creating a workplace that runs effortlessly.

You'll have the autonomy to take ownership, introduce new ideas and make a meaningful impact on the experience of everyone working at Dwelly.

What is it like being a Dwell-er

Feel free to check out Dwelly Core Principles. That’s about what we believe in, how we operate and make decisions.

What we offer is not a fancy office or a static workplace. Instead, this is solving one of worlds’ most complex problems in the largest consumer industry in the world (residential rentals), to improve the experience for >30% of households (>5M in the UK, and >100M including EU and US) that live in rental homes.

This is about disrupting the largest, most antiquated industry in the world, with one of the strongest operational and technical teams that exist in the UK and the EU. We work hard, and we shoot for extremely ambitious results. But we want people to be proud of what they’ve built and be able to look back and say one day “hell yeah, that was me that did it all”.

* Customer obsession rather than competitive focus * Passion for invention * Operational excellence * Long-term thinking
