About the role

Culinary Depot is looking for a Contract Sales Operations Manager to build and lead the back-office operation supporting our Contract Sales Department.

This is a management and team-building position. We need someone who can develop a team, establish clear processes, assign ownership, manage performance, and hold people accountable.

The Contract Sales Operations Manager will oversee purchasing, order entry, equipment tracking, vendor follow-up, billing, accounts receivable, delivery scheduling, project documentation, and closeout.

The Contract Sales billing and accounts receivable team will report directly to this manager. This position will be accountable for ensuring that projects are billed accurately and on time, outstanding balances are actively managed, and customer accounts remain current.

Our project managers will remain focused on customers, jobsites, installations, and field execution. This position will lead the internal operation supporting each project from handoff through final billing and closeout.

Responsibilities:

* Build and manage the Contract Sales operations support team.

* Establish clear workflows, responsibilities, and accountability.

* Manage the people responsible for purchasing, tracking, billing, accounts receivable, scheduling, and closeout.

* Oversee project billing and ensure invoices are issued according to contract terms and project progress.

* Monitor accounts receivable, collection activity, and past-due balances.

* Ensure customer accounts remain accurate and up to date.

* Coordinate with project managers, sales, accounting, and the warehouse.

* Develop reporting and performance standards for the department.

* Identify operational and financial risks early and drive them to resolution.

* Recruit, train, coach, and manage additional team members as needed.

* Build a consistent operation that can support continued growth.

The ideal candidate should have:

* Direct experience managing employees, not just coordinating their work.

* Experience building or improving teams and operating procedures.

* Strong operational leadership with experience overseeing billing and accounts receivable.

* Experience managing a high volume of active projects and competing deadlines.

* The ability to create reporting and use it to manage performance.

* The confidence to address missed deadlines, collection issues, and employee performance.

* A service mindset toward project managers and sales while still enforcing process and accountability.
