Job Summary

As a Data Analytics & Automation Specialist with our Sales & Business Development team, you'll utilize Preconstruction data and transform it into insight and strategy. You'll analyze historical performance, keep the Customer Relationship Management (CRM) clean and trustworthy, track the sales funnel and pipeline, and analyze backlog to help our organization’s strategic planning.

You'll also own the subcontractor and vendor prequalification process. You'll utilize Salesforce to build reports, dashboards, and automations, develop custom solutions, and apply AI tools to improve speed, accuracy, and decision-making across the department.

Role & Responsibilities

Performance Analytics, Pipeline & Strategy

* Analyze Preconstruction performance, including bid volume, hit rate, win/loss trends, estimating workload, margin, and turnaround times, and report findings to leadership. * Monitor and report on the sales funnel and pipeline by stage, market, client, and project type, flagging risks, bottlenecks, and forecast changes. * Analyze backlog (current, secured, and projected) against capacity, resources, and revenue targets to support forecasting and resource planning. * Support annual and long-range planning with scenario modeling, forecasts, and clear summaries for executives and business development. * Support CRM data quality: clean up duplicate, incomplete, or inconsistent records, set data standards and validation rules, and keep Salesforce a reliable source of truth. * Design, build, and maintain Salesforce reports and dashboards (pipeline, backlog, performance, and win/loss) and respond to ad hoc data requests. * Connect and reconcile data from other systems (e.g., estimating, accounting, project management) into usable reporting views.

Salesforce Development & Automation

* Configure and customize Salesforce objects, fields, page layouts, validation rules, and record types to support Preconstruction workflows. * Build automations using Flow, and write Apex, Salesforce Object Query Language (SOQL), and Lightning Web Components where needed. * Identify manual, repetitive processes and replace them with automated workflows, notifications, approvals, and document generation. * Manage integration and data imports/exports such as Data Loader, Application Programming Interface (APIs), middleware in coordination with Information Technology (IT) and Salesforce administrators. * Test, document, and support releases, and train end users on new tools and processes.

Artificial Intelligence (AI) Integration & Process Improvement

* Evaluate and implement AI tools (including Salesforce AI features and generative AI assistants) to speed up tasks such as bid document review, data entry, summarization, and reporting. * Develop prompts, templates, and guidelines so the team uses AI consistently, securely, and in line with company policy. * Pilot new AI and automation ideas, measure their results, and scale what works. * Stay current on emerging analytics, automation, and AI capabilities relevant to construction.

Prequalification Management

* Administer the subcontractor and supplier prequalification program, including issuing, collecting, and reviewing pre-qualification packages. * Evaluate applicants on financial strength, safety record such as Experience Modification Rate (EMR), Total Recordable Incident Rate (TRIR), Occupational Safety and Health Administration (OSHA) history, insurance and bonding capacity, licensing, references, and past performance. * Maintain prequalification status, expiration dates, and approved bidder lists in Salesforce, with automated reminders and renewals. * Communicate decisions and follow-ups to subcontractors and Preconstruction team members and escalate risk concerns to leadership. * Continuously improving the prequalification process, scoring criteria, and reporting through data and automation.

Skills

* Deadline-oriented, self-motivated, and possessing the ability to manage multiple projects simultaneously  * Proficient with Excel and data visualization tools such as Power Business Intelligence (BI), or Salesforce CRM Analytics. * Ability to translate business needs into technical solutions and explain results to non-technical audiences. * Strong communication capabilities, organizational skills, and follow-through.  * Strong interpersonal skills are needed to work in a diverse and fast-paced environment. * Sound judgment with confidential financial and safety data. * Ability to be accountable and start and manage projects proactively without guidance.  * Knowledgeable with CRM/Salesforce system for tracking and organizing client and project opportunities.  * Knowledgeable with Salesforce reports, dashboards, and Flow; working knowledge of SOQL and Apex. * Knowledgeable in applying generative AI tools or machine learning in a business setting.
