Position Overview
We are seeking personable and highly organized Front Desk Associates to join our team, with one full-time position open at each of our five Southern California locations: Los Angeles, Diamond Bar, Hacienda Heights, Brea, and Irvine. The ideal candidate will have excellent customer service skills, an interest or background in medical aesthetics, and the ability to multitask in a fast-paced environment. This role is central to ensuring a seamless client experience while driving growth through effective communication, service recommendations, and the promotion of our products and services. Front Desk Associates also take part in our phone sales program, where they connect with prospective clients and book consultations, and earn commission on consultations sold. Strong performers have the opportunity to advance into a Sales Consultant role.
Responsibilities
Client Interaction
* Greet and welcome clients in a professional and friendly manner. * Handle check-ins/outs, schedule follow-up appointments, and manage payment transactions accurately. * Respond to inquiries about treatments and products. * Address minor client concerns with professionalism and escalate major issues to management as needed.
Phone Sales
* Answer inbound calls and convert inquiries into booked consultations. * Make outbound calls to follow up with leads and past clients. * Recommend treatments and packages based on each client’s goals.
Administrative Duties
* Maintain accurate patient records and ensure all necessary paperwork is completed. * Answer and direct phone calls, respond to email inquiries, and manage patient flow efficiently. * Assist with data entry and other administrative tasks as needed.
Facility Maintenance
* Perform opening and closing duties, as required, for the MedSpa. * Ensure lounge areas are tidy and welcoming for clients.
Qualifications
* Fluency in Mandarin is required. * Experience in a customer-facing role preferred; phone or sales experience is a plus. * Knowledge of medical aesthetics and skincare is highly desired. * Exceptional customer service and communication skills. * Ability to multitask and stay organized in a fast-paced, team-oriented environment. * Reliable, punctual, and proactive with strong problem-solving skills. * Tech-savvy with proficiency in email, scheduling software, and mobile devices. * Experience with SalonIris or Zenoti software is a plus.
