Chief of Staff Resume Example (2026)
By FindAJobAI team Updated How we built this page
Chief of staff job ads vary more than most, since the role bends to whatever the executive needs most: strategy, operations, communication or all three at once. What hiring managers look for across versions of the job is evidence that you ran something real, not just attended it. A chief of staff resume should name the initiative, the stakeholders and what changed because you were in the room.
The example below is a chief of staff with five years split between a health analytics company and a consulting firm, most recently supporting a CEO through a leadership transition. Notice how each bullet names the project, the people involved and the outcome, instead of listing meeting facilitation as a skill.

Entry-level chief of staff resume example
A chief of staff at an 18-person startup, promoted from an operations analyst role after a year and a half. The experience is thinner than a chief of staff at a larger company, so the bullets lean on breadth: scheduling, OKRs, a support project and an offsite, each with its own result.

How to write a chief of staff resume
Five steps, in the order a recruiter reads the page. The format around them stays plain for every job: one column, standard headings, newest role first.
Header: name, target title and links
Use the title "Chief of Staff" even if your title was "Senior EA to the CEO" or "Head of Strategy & Ops," and name the company size right away. Scope varies enormously by headcount, and recruiters look for that context fast.
Summary: what you do and your best proof
Name the size of the organization, the executive you supported, and one project or process you owned end to end. Skip phrases like 'trusted right hand'; name what the hand actually did.
Experience: newest first, a result in every bullet
Open each bullet with the project, the meeting, or the process, then the teams involved and the result. A chief of staff's work is often invisible by design, so the bullet has to do the crediting: what you built, who used it, what changed.
Skills: grouped, in the ad's words
Group by strategy, operations, communication and tools, and separate the planning tools (Notion, Asana) from the reporting ones (Tableau, Excel). Leave out 'leadership' as a skill line; show it in a bullet about a team or project instead.
Education and certifications
A bachelor's degree is usually enough; add an MBA or a certification like PMP if you have one. If you came from consulting, an EA role or an analyst seat, a short Experience section explaining that path reads better than trying to hide it.
Skills to put on a chief of staff resume
Hard skills are the tools and methods of the job; soft skills are how you work with people. Each comes with one way to prove it, because a skill named only in a list counts for little. Add the ones you really have.
Hard skills
- OKR design and tracking
- Name the number of OKRs or teams you tracked and one goal you flagged as at risk before it slipped.
- Board and investor materials
- Say how often you build the deck, who gives you inputs, and how long the prep cycle takes.
- Cross-functional project management
- Name the teams involved and the result, not just 'led cross-functional work.'
- Executive communications
- Point to a message you drafted for the executive and how many people it reached.
- Meeting facilitation
- Describe a meeting you redesigned, with its length before and after and what it now produces.
- Budget and vendor oversight
- Give a dollar figure you tracked or saved, even an estimate.
- Process design
- Name a process you built or fixed and the time or error rate it changed.
- Stakeholder alignment
- Count the department heads or teams you got to agree on one plan or definition.
- Project management tools (Asana, Notion)
- Mention the tool next to the project it ran, not as a standalone skill line.
- Data synthesis
- Say how many systems or reports you pulled from to build one summary or recommendation.
- Hiring and onboarding support
- Count the hires or new team members whose onboarding you helped run.
- M&A or integration support
- If you've touched an acquisition, name the headcount or timeline of the integration, even a partial one.
- Travel and calendar strategy
- Only mention this if it is paired with a bigger result, like freed-up hours or a rescheduled priority.
Soft skills
- Judgment
- Give an example of a decision you made without the executive, and how it turned out.
- Discretion
- Describe handling a sensitive situation, like a reorg, without naming the confidential details.
- Adaptability
- Show a week where you moved between a people problem, a data problem and a logistics problem.
- Follow-through
- Name a long-running item you kept moving over months until it closed.
- Plain-language writing
- Point to a document you simplified for a broader audience, like a company-wide update.
- Influence without authority
- Describe getting a team to change a plan or deadline without being their manager.
- Prioritization
- Give your request volume and how you decided what the executive sees first.
Chief of Staff resume bullet examples: weak vs strong
The same work, written two ways. The strong version names the tool, the scope and a result; the numbers are examples, yours must be real.
Weak: Supported the CEO with various tasks.
Strong: Triaged the CEO's inbox and requests each morning, resolving 70% of items without escalation and flagging the rest with a recommended next step.
Shows judgment, not just task-taking.
Weak: Ran leadership meetings.
Strong: Redesigned the weekly leadership meeting from a status readout to a decision log, cutting it from 90 to 45 minutes and closing twice as many open items.
Names the change and the measurable result.
Weak: Managed cross-functional projects.
Strong: Led the vendor consolidation project across finance, IT and procurement, cutting the company's software spend by $180,000 a year.
Project named with the teams and the dollar result.
Weak: Prepared board materials.
Strong: Built the quarterly board deck from inputs owned by 6 department heads, cutting the prep cycle from 2 weeks to 4 days.
Shows ownership of a recurring, high-visibility deliverable.
Weak: Good communicator.
Strong: Drafted the CEO's company-wide message during a reorganization, read by all 140 employees, with a follow-up survey showing 82% understood the reasons for the change.
Turns a soft skill into a specific, measured outcome.
Weak: Handled special projects for the executive team.
Strong: Took over a stalled pricing project with no clear owner, assigned next steps to 4 teams, and got it approved by the CEO within 6 weeks.
Shows the chief of staff pattern: picking up what has no owner and moving it to done.

Common chief of staff resume mistakes
Each one is easy to make and quick to fix before you apply.
Describing scope instead of results
"Supported the CEO" says nothing about what changed. Name the project, the teams and the outcome.
No sense of company size
A chief of staff at a 15-person startup and one at a 2,000-person company do different jobs. State the headcount so the scope is clear.
Hiding the path into the role
If you came from an EA, analyst or consulting seat, say so. It explains how you built the skills the role needs instead of leaving a gap in the story.
Taking credit the executive earned
Claiming a strategy decision as your own can read as overreach. Credit the project you ran or the material you built, not the executive's call.
Vague tool lists with no project
Notion, Asana and Tableau on their own say little. Attach each tool to the project or report it supported.
ATS tips for a chief of staff resume
Applicant tracking systems turn your file into text that recruiters search, mostly for the skills and titles in the ad. They rarely reject a resume on their own; one that parses badly or misses the ad's words just doesn't come up.
- Name the size of the organization and the number of departments or OKRs you tracked; chief of staff scope varies a lot by company size.
- Show project ownership with the teams involved and the result, not just 'cross-functional collaboration.'
- If you came from an EA, analyst or consulting background, say so plainly; it explains how you built the skills the role needs.
- List the planning and communication tools you used (Notion, Asana, Workday) since ATS systems often match on tool names.
- Mention one instance of handling ambiguity: a request with no clear owner that you scoped and moved to done.

Chief of Staff resume FAQ
What does a chief of staff actually do day to day?
It varies by company, but most chiefs of staff run the executive's meeting cadence, track strategic goals across departments, manage special projects with no clear owner, and prepare materials for the board or leadership team.
What background do you need to become a chief of staff?
There's no single path. Common routes include management consulting, executive assistant roles that grew in scope, operations or program management, and internal promotions from analyst roles close to leadership.
How do I show impact on a chief of staff resume if my work was mostly behind the scenes?
Name the project or process you ran and the result the business saw, even if the public credit went to the executive. 'Built the deck that secured funding' is a legitimate, honest bullet.
How we built this page
The FindAJobAI team wrote the three example resumes, the bullets, the skills and the advice for chief of staff roles. The people, employers and numbers in the examples are invented; the structure, the tools and the way each bullet is built are the parts to copy.
Once we track enough live chief of staff job ads, this page also shows the skills they ask for most, counted the same way as our in-demand skills report.
