Bookkeeper Resume Example (2026)
By FindAJobAI team Updated How we built this page
Bookkeeper job ads tend to ask for the same core: a software platform, reconciliation skills, and accuracy under a monthly deadline. What separates candidates is evidence their books are trusted without a second look. A bookkeeper resume should say how fast you close the month and what your reconciliations caught.
The example below is a bookkeeper with five years split between a landscaping company and a small accounting firm serving multiple clients. Notice how each bullet names the software, the account or process and the error caught or time saved, instead of just listing tasks.

How to write a bookkeeper resume
Five steps, in the order a recruiter reads the page. The format around them stays plain for every job: one column, standard headings, newest role first.
Header: name, target title and links
Use the title “Bookkeeper” even if your official title was Accounting Clerk or Office Manager, as long as bookkeeping was your main function. Add your QuickBooks or NACPB certification right under your name if you have one.
Summary: what you do and your best proof
Name your software, your client or entity count, and one accuracy result: an error caught, a close time, or a streak with no missed payroll. Skip lines like “detail-oriented and organized”; a close-time number says it better.
Experience: newest first, a result in every bullet
Open each bullet with the task and scope (accounts, clients, invoice volume), then the software and the result: what you caught, sped up or kept on schedule. “Managed bookkeeping” says little; a close time or an error caught says a lot.
Skills: grouped, in the ad's words
Group them into software, core bookkeeping tasks, payroll and compliance, and office tools. Name every platform you've used hands-on (QuickBooks Online vs. Desktop matters), since ads often specify one.
Education and certifications
List your degree or certificate with the year, plus a credential like QuickBooks ProAdvisor or NACPB Certified Bookkeeper if you hold one. Without bookkeeping experience, list an internship or any job involving invoices, payments or reconciliation with the same task-software-result structure.
Skills to put on a bookkeeper resume
Hard skills are the tools and methods of the job; soft skills are how you work with people. Each comes with one way to prove it, because a skill named only in a list counts for little. Add the ones you really have.
Hard skills
- QuickBooks (Online or Desktop)
- Name which version and mention a specific task, like a migration or cleanup, you've done in it.
- Xero
- If the ad lists it, mention the number of clients or accounts you managed in it, even a small number.
- Bank and credit card reconciliation
- Give the number of accounts you reconcile monthly and one error you've caught doing it.
- Accounts payable
- State the monthly invoice volume and a process improvement, like faster approval routing.
- Accounts receivable
- Mention your collections or invoicing process and its effect on late payments or cash flow.
- Payroll processing
- Name the software (Gusto, ADP, Paychex), the employee count and your on-time record.
- Month-end close
- State how many business days your close takes and for how many entities or clients.
- Journal entries
- Mention a specific adjusting entry type, like accruals or depreciation, you handle regularly.
- Chart of accounts setup
- Describe a chart of accounts you built or cleaned up and what it made easier, like reporting or tax prep.
- Sales tax filing
- Name the states or jurisdictions and the filing frequency you manage.
- Job costing
- Give the number of jobs or projects tracked and an example of a cost overrun you flagged.
- Excel
- Name the features you use (pivot tables, VLOOKUP) next to a reconciliation or report they sped up.
Soft skills
- Accuracy
- Give an error-free streak, like months closed on time without a correction, or an error you caught before it reached a client.
- Organization
- Describe a filing or categorization system you built and the time it saved finding records.
- Client communication
- Mention how many clients you communicate with directly and about what, like missing receipts or approvals.
- Confidentiality
- Note the sensitivity of the financial data you handle without naming specific clients or amounts.
- Deadline management
- State your on-time close or payroll record across a number of months or clients.
- Problem-solving
- Describe a discrepancy you traced to its source and how you resolved it.
- Adaptability
- Mention switching between multiple clients' books or software platforms in the same week.
Bookkeeper resume bullet examples: weak vs strong
The same work, written two ways. The strong version names the tool, the scope and a result; the numbers are examples, yours must be real.
Weak: Reconciled bank accounts.
Strong: Reconciled 6 bank and credit card accounts monthly for a retail client, catching a $3,200 bank fee error that the bank credited back after the client disputed it.
Names the account count and a specific error caught.
Weak: Managed accounts payable.
Strong: Processed 70 vendor invoices a month in Bill.com, cutting the average payment cycle from 25 days to 12 by setting up approval routing.
Turns a routine task into a measurable process improvement.
Weak: Did payroll.
Strong: Ran biweekly payroll for 30 employees in Gusto, including commission calculations for 8 sales staff, with no missed deadlines over a year.
Shows payroll complexity and a reliability record.
Weak: Prepared financial statements.
Strong: Prepared monthly P&L and balance sheet statements for 5 clients, flagging a cash flow gap 3 weeks before it would have caused a missed loan payment.
Converts a deliverable into a result that mattered to the business.
Weak: Used QuickBooks.
Strong: Migrated 3 clients from QuickBooks Desktop to QuickBooks Online, cleaning up 2 years of miscategorized transactions in the process.
Shows depth of QuickBooks skill through a concrete project.
Weak: Managed invoicing.
Strong: Set up automated recurring invoicing for 25 retainer clients, reducing late payments from 15% of invoices to under 5%.
Quantifies the before-and-after of an invoicing fix.

- Migrated 4 clients from spreadsheet-based books to QuickBooks Online, each completed within 2 weeks with no data loss.
- Standardized expense categorization rules across 8 clients, cutting miscategorized transactions flagged at tax time by about 60%.
Bookkeeper resume summary examples
Two or three lines on what you do and your strongest proof. Start from the one closest to your level and use your own facts.

Common bookkeeper resume mistakes
Each one is easy to make and quick to fix before you apply.
No close time or accuracy number
“Managed monthly close” leaves out whether it took 2 days or 3 weeks. State your close time and any error-free streak you can honestly claim.
Generic software claim
“Proficient in accounting software” could mean anything. Name QuickBooks Online, Xero or whatever you've actually used, since many ads filter for a specific one.
Listing tasks with no scope
“Processed invoices” doesn't say if that's 10 or 200 a month. Add the volume and the client or entity count so the scope is clear.
Confusing bookkeeping with accounting
Bookkeeping ads want day-to-day transaction accuracy, not financial strategy. Keep bullets focused on reconciliation, AP/AR and close, not high-level analysis unless you actually did it.
Omitting payroll experience
Payroll is often treated as a separate, valued skill. If you've run payroll, name the software and employee count explicitly instead of folding it into "bookkeeping duties".
ATS tips for a bookkeeper resume
Applicant tracking systems turn your file into text that recruiters search, mostly for the skills and titles in the ad. They rarely reject a resume on their own; one that parses badly or misses the ad's words just doesn't come up.
- Name the accounting software by name (QuickBooks Online, Xero, FreshBooks); many bookkeeping ads filter for a specific platform.
- State how fast you close the month; a 4 or 5 business day close is a concrete, comparable number hiring managers look for.
- Describe reconciliations by what they caught, not just that you performed them; an error found is more convincing than a task completed.
- Mention payroll software and employee counts if you run payroll; it's often a separate skill from general bookkeeping that ads ask for directly.
- If you support multiple clients or entities, state the number; it signals you can juggle separate books without mixing them up.
For the format itself, run the free ATS resume checklist.

Bookkeeper resume FAQ
What software should a bookkeeper list on a resume?
Name every platform you've used hands-on, especially QuickBooks (Online or Desktop) and Xero, since job ads usually specify one. Add payroll tools like Gusto or ADP if you've run payroll.
Do I need a certification to work as a bookkeeper?
No, but a QuickBooks ProAdvisor or Certified Bookkeeper credential helps your resume stand out, especially for remote or client-facing roles where employers can't easily verify your skills firsthand.
How do I show accuracy on a bookkeeping resume without real numbers?
Use a streak or a close time instead of a dollar figure if you can't share specifics: how many months in a row you closed on time, or how many accounts you reconciled without a flagged error.
How we built this page
The FindAJobAI team wrote the three example resumes, the bullets, the skills and the advice for bookkeeper roles. The people, employers and numbers in the examples are invented; the structure, the tools and the way each bullet is built are the parts to copy.
Once we track enough live bookkeeper job ads, this page also shows the skills they ask for most, counted the same way as our in-demand skills report.
